Supporting the office of Directors, the incumbent will be the first point of contact in managing office day to day activities including but not limited to screening calls, setting up meetings, etc by order priority. to effectively manage diaries from day to day meetings to travel arrangements inlcuding visa applications screen and filter calls, emails and documents and disseminate timeaously to act as a middle contact between HR, Projects, Bids and Finance teams in order to ensure all priority deadlines seeking Directors attention are met to collate and file all invoices, quotations and other documents related to Directors' desk implementing robust administrative procedures and processes that will promote effective access to Directors compile and produce and edit professional and accurate large volume documentation i.e proposals, letters, invitations, presentations as and when directed carrying out reasearch and and background checks as and when requred and presenting timeously managing of company documents ensuring that information is on hand for use by Director i.e statutory certifications, corporate governance documentation, SLA's and other regulatory documentation organising, scheduling and attending clients' as well as business associates' events act as a point of contact in directing flow of information from staff to Director and vice versa. proactive in promoting effective general administration within the Directors work space. assist in coordination and planning of special projects and assignments as directed proactively ensure that equiment, stationary and other office related tools of trade are adequately procured work closely with vendors, subcontractors and other stakeholders to ensure that information is collected and disseminated accordingly perform any other ad-hoc administrative functions that will assist in the smooth running of the office Desired Experience 8 or more years expereince in similar role solid administration and proficciency in coordination of tasks and events demonstration of great command of English both verbal and written ability to proof read and produce proffessionally and sound documentation proactive in professionally handling high level conversations with buisness stakeholders attention to detail and a fast typist with Microsoft applications proficiency including managing online meetings demonstration of utmost confidentiality abilty to travel outside Polokwane ability drive to runn office errands Qualification ND or Certificate in Business Management and Administration and or equivalent Valid and un-endorsed drivers licence Negotiable, based on experience Apply Now
