Our client is seeking a Factory Administrator to join their team and oversee various administrative tasks critical to their operations. Job Card Management: Print all wordings and documentation received from shops. Create job cards for customers. Maintain and update the job card register. Ensure all signed job cards, and quality checks are ready for scheduled deliveries. Delivery Note Preparation: Copy job cards and forms from the factory. Manage the delivery note register and complete delivery notes for each order. Print forms required for delivery notes, including signed job cards and client forms. Update delivery note numbers for photo purposes. Handling Queries and Complaints: Assist shop personnel with addressing queries and complaints. Collect all documents for repair and complaint requests. Forward complaints and repairs for investigation and approval. Track and resolve all received queries and complaints promptly. Collaborate with shop personnel on queries and complaints. Office Management: Manage office supplies, including cleaning supplies, printer toners, and administrative items. Maintain adequate stock levels of office supplies. Vinyl Management: Print vinyls based on received wording sheets. Coordinate with picking and vinyl staff for vinyl distribution. Assist with reprints, spelling errors, and amendments on printed vinyls. Filing: Ensure proper filing of all relevant documents. SMS System: Send SMS notifications to clients regarding fitment dates with appropriate notice periods. Support: Provide administrative support to the factory administration manager, factory manager, and staff as needed. A Diploma in Business Administration or a related field is preferred. Proven experience in administrative roles, particularly in a manufacturing or production setting, is highly desirable. Familiarity with job card management systems and office administration procedures is essential. Strong computer skills, including proficiency in Microsoft Office Suite and experience with job card software, is required. Excellent communication skills, both written and verbal, to effectively liaise with shop personnel, clients, and internal stakeholders. Demonstrated ability to prioritise tasks, manage time efficiently, and meet deadlines in a fast-paced environment. Experience in handling customer queries and complaints with professionalism and empathy is advantageous. Prior experience in inventory management or procurement would be beneficial.
