Our Industrial Battery client is currently seeking a Finance and Office Coordinator to be based in Elandsfontein, JHB To completely manage the finance & administrative functions of the branch (Debtors, creditors, IBT's & general admin functions). In charge of the department's day-to-day functions as well as supporting staff, improve office processes and policies, and ensure that the office operates smoothly. Salary: R20 000 - R25 000 Requirements: Matric or tertiary qualification in business management 8-10 years experience Creditors, office admin, Bookkeeping qualification, financial knowledge / experience Proficient in Microsoft Office Knowledge of customer service practices Understanding of stock management. Responsibilities : Creditors - Processing and Reconciliation Creditors – Create/Process purchase orders for JHB Creditors - Request all documents from suppliers/service providers. Creditors - Process Goods Received in the system. Creditors - Ensure manager signs invoices. Creditors – receive / request Invoices, POD's and GRN all creditors for JHB Branch and Bloemfontein branch Creditors - Match Purchase orders, GRNs to Invoices. Send all compiled originals to HO. Creditors - Resolve queries. Creditors - Review Purchase orders in the system. Build and maintain good relationships with JHB Branch creditors to ensure smooth flow of creditors' process. Debtors – Assist HO with documentation for new accounts. All IBT'S (internal branch transfers) for JHB Branch (Receiving and sending stock) Value credits and stock credits Ensure manager reviews and authorises warranty claims and credit note processing. Assist with scrap invoicing. Control the asset register for JHB branch. Identity and label assets. Update / complete Delivery notebook control schedule. Control corporate book registers. Ensure all Invoices, PODs and Credit note documents are scanned, saved, imported into the system. Ensure all documentation is sent on a weekly basis to HO. Assist with daily/weekly/quarterly Stock Takes – Refer to reports from the system. Ensure all administration is complete and accurate. Capture count results. Follow up and resolve discrepancies. Receive and send stock for JHB Branch (IBT's) Process all stock return credits, communicate credits to customers, sales department and finance department (HO) Scrap stock Invoicing. Control and ordering of stationery and groceries. Ensure preapproval from Branch manager. JHB branch CTEK Warranties register. Capture, maintain & submit monthly report to Procurement and Brand Manager. JHB branch Forbatt warranties register. Capture, maintain & submit monthly report to Procurement and Brand Manager.
