Purpose of the Job The fleet controller will play a pivotal role in supporting the Lead logistics Controller in achieving an efficient and well-managed fleet. This position requires strong organizational and communication skills, attention to detail, and the ability to ensure compliance with company policies and procedures. MAIN RESPONSIBILITIES Asset Management Manage and oversee the fleet assets within the Company with the lead logistics controller and ensure optimal fleet utilisation. Monitor and report on daily diesel consumption, taking corrective actions for unacceptable levels. Book trucks with outside contractors Track loads and liaise with drivers Keep load planning up to date with loads loaded Assign trucks to loads Check and monitor loads from loading points to unloading points Issuance of order numbers for all loads driven by contractors for the Company Follow-up and checking of instructions to be issued. Monitor and report on driver behaviour, utilising the fleet telematics system. Take necessary action to address incorrect behaviour. Daily execution Effective controls exist Cost effectiveness is promoted Loads are carried out daily according to planning. Stay in constant contact with drivers to monitor loads. Vehicle and Trailer Oversight Ensure all vehicles and trailers are within service limits and legally licensed. Report breakdowns to the lead logistics controller and promptly address new damages or defects of the truck or loads. Develop and maintain schedules for vehicle maintenance, inspections and deliveries. Ensure the fleet image is kept at a high standard and reflects our proud brand, Maintenance of truck scheduled. Updated list of truck mileage and license expiry dates. Administrative & Documentation. Attend to general administration and documentation management daily. Maintain accurate records of vehicle inspections, maintenance and compliance documentation. Monitor and manage fuel consumption to control costs and reduce environmental impact. Implement systems to track fuel cards and optimise fuel efficiency. Keep trip sheets up to date where applicable Check diesel slips and keep diesel sheets up to date Correctly track driver attendance on a daily basis. Liaising with customers ensures customer satisfaction Follow-up of all loads driven by or on behalf of the company for a client to destination to ensure client satisfaction Daily execution in a timely and accurate manner Do standby service Assist on a rotational basis Check loads and loading of loads or weekends and after-hours Track outside contractor loads and trucks on weekends Complete and complete weekend scale charts for handover Process Maize scale cards Track loads on weekends Decide whether loads should go out on weekends Check diesel cards, permits and cash from drivers Share information about loads with colleagues Correctly mark drivers' attendance for all drivers over the weekend (standby Shift) Controller on weekend shift to ensure that all trucks depart on allocated times to ensure that time slots are kept. All assistance service tasks are consistently performed in a timely and accurate manner Follow-up times Saturdays from 07.00 until finished and Sundays from 14.00 until finished Compliance and Regulations Stay informed about and ensure compliance with national and local transport regulations. Condct accident/incident investigations and submit required documentation Information needed for investigation; The other (3rd party) person involved, When and Where Load description (Photos/videos Critical) The cause of the accident/incident. Police identity (obtain name, rank and station) Driver never to speak with media. Leave Planning of drivers Monitor driver hours and overtime of drivers. All accidents and incidents reported to the Lead Controller. All relevant information regarding a driver and a truck is to be submitted in time. Driver management. Perform relief duty Carry out load planning of final products in colleague's absence and when on standby duty All relays are executed in a timely and accurate manner Cost management Support the lead logistics controller in developing and managing budgets related to fleet operations. Identify opportunities for cost savings and implement strategies to reduce operational expenses. Manage your overall CPK for your fleet and ensure that the CPK is above the allocated CPK. Reach your monthly CPK for your fleet. Stay up to date with changes in the Fleets CPK. Technology integration Implement and manage fleet tracking systems to monitor vehicle locations, performance and driver behaviour. Utilize telematics to gather data on vehicle usage, driver behaviour and maintenance needs. Create weekly/monthly reports from the fleet telematics provided. Driver scorecard to be completed each month. Communication & Emergency Response Communicate with the Transport manager, Lead controller, controllers and finance to ensure smooth operations. Report emergencies immediately to your Lead controller for assistance. Stay informed about industry best practices and emerging technologies for continuous improvement. Daily/weekly and monthly communication with team critical. Attend logistics meetings and convey correct information to interested parties. Education Matric Diploma/degree will be an added advantage Experience Minimum of 3 years experience. Managing a minimum of 15 trucks. Knowledge/Abilities/Skills Administrative skills.
