The purpose of the position is to manage and maintains regional inventory by updating and recording stock movements on the inventory management system, this includes the responsibility of receiving, dispatching, Stock management and packaging of stock. You will also be required to provide technical expertise by repairing spares, doing quality assurance to ensure that there are sufficient parts available in the field and that they are of an acceptable quality. Primary Role (Warehousing) 60% Overall Responsibilities include the following: · Process all transfers and movements in the inventory management system (BC) · Compile reports for stock adjustments and submit for processing · Monitor and Maintain stock levels and escalate matters of concerns · Ensure monthly scrapping and installation movements have been accounted for · Reconcile system movement in BC to physical movement of stock · Balancing of warehouse stock daily, weekly, monthly · Submit reports daily, weekly, monthly including any scrapping, installations, inter branch movements · Update BC on all ATM Movements, save all movements on the shared drive for easy access and file them systematically · Investigate all Variance identified, and escalate to relevant stakeholders · All ATM Movements, must be updated, and submitted in a monthly report timeously · Check and confirms that all New TERMID processed on CRM are replicated into BC · Perform admin duties, including data entry, assisting internal teams, spot checks on Stock takes · Ensure all OHS activities are adhered to Receiving Duties · Compare transfer/request orders with packaging/delivery/waybill/manifest lists to that in BC system · Inspecting all deliveries to ensure they match order placed in BC system · Receiving and signing for all deliveries · Unloading deliveries from trucks · Process returns for incorrect or damaged stock with proper paperwork and movement recorded in BC back to main warehouse · Organizing and storing received items in appropriate location · Updating inventory with received items · Maintaining records of orders, delivery details, etc. Dispatching Duties · To identify outgoing stock and to verify them against requested orders from techs in BC · To ensure outgoing stock are in correct and in good condition that meet specifications · To organise the dispatching of goods with completed documentation signed off by the techs or the delivery driver · To maintain records of all stock dispatched and to update your inventory stock on hand in BC · To examine all shipping documents and verifies stock to be released for dispatching Physical Management of Stock · Draft a list of stock items to be counted with physical quantities or do a blind count · Prepare the warehouse for stock count, all items should be in its correct place or location · Stop receiving and dispatching for the time when conducting stock count, inform all operational stakeholders timeously · Must plan a daily, weekly and monthly manual physical inventory count to determine inventory levels status for each stock item · Place stock requisition orders in BC for low quantity fast-moving stock for replenishment · Must plan cycle counts on portions of stock items and should be done daily, or weekly for different portions of stock items · Use the warehouse management software to assist with inventory count · Any variance or discrepancy needs to be investigated and reported immediately · Do a recount if required to determine if the variance is correct · Update your inventory count to the inventory team at the main warehouse in GP after all investigations are concluded and signed off by the Branch Manager Labeling and storage of stock · Label all incoming stock coming from receiving · Place your fast moving items in easy to access areas or closest to your dispatch area · Label outgoing orders for easy and clear identification and tracking to outbound paperwork · Complete all orders before the end of the day · Make cleaning a priority, ensure proper housekeeping is done, everything has a place and should be in its place Packaging stock · Must print out a packing slip, which lists all of the items that need to be packed · Items must be wrapped in bubble wrap or other protective material · They must be placed inside the box · It must be sealed and labeled with the packing slip · The shipping label must be attached to the box before its ready to be shipped out Housekeeping · Make sure there is no trip hazards on the warehouse floor and remove any that may be present. · Do a regular check on floor and aisle spaces, ensure there are no obstructions to the movement of staff or machinery · Ensure there is always a clear access to sprinklers, fire safety equipment and fire exits. · To reduce handling of stock to ease the flow of materials · Create more effective use of space · Reduced property damage by improving preventive maintenance · Clean up during the shift · Have a day-to-day cleanup schedule · All waste are disposed appropriately · Ensure to remove unused materials · Daily inspection to be conducted to ensure cleanup is complete Secondary Role (Quality Control) 25%: · Measure objects in comparison to their intended physical specifications, run quality tests and identify defects · Practice quality assurance rules to prevent issues leading to poor product · Testing and assessing products daily after repair and monitor their functionality · Identify opportunities for process improvement and suggest measures to enhance the quality of inspection procedures · Collaborate with the production and RC teams to identify opportunities for process improvements that enhance product quality · Matric · Completed Degree/Diploma in Warehousing, Supply Chain Management or A or Mechanical Engineering · Physically fit to handle and move items in and around warehouse, QC and Repair Centre · Technical aptitude for mechanical and electrical components · Min 1-3 year experience in managing inventory, distribution and handling incoming and outgoing stock · 1-3 years technical experience in electrical, electronic or mechanical repairs will be advantageous · Forklift driver license will be advantageous · Must be MS Office proficient with working knowledge of a WMS, BC system Apply Now
