National Leasing Manager - Retail and Commercial Property - Cape Town City Centre

Minimum Qualification

Matric or NQF level 4

Preferred Qualification

  • Estate Agencies Affairs Board Competency Certificate (NQF Level 4)
  • Tertiary qualification (BCom) advantageous

Required work experience

  • 5+ years' experience in Property and Retail Management
  • OHSA knowledge and its application
  • General building maintenance
  • Functional knowledge of procurement processes and procedures
  • Green building management

Role responsibilities:

Property Management

    • Understand which space is available for rent and identify which tenants can be upgraded from their current space to maximize tenancy
    • Responsible for managing the facilities of the identified retail or commercial space, ensuring the regular maintenance is upheld in line with compliance regulations
    • Where necessary, propose projects to improve the identified location and, where approved, participate in site meetings as required by the Project Manager.
    • Be knowledgeable on the status of any projects which may be ongoing at the identified locations
    • Create a maintenance schedule for identified locations/building
    • Implement and manage the planned maintenance schedules
    • Responsible for building and maintaining sound relationships with the tenant base
    • Responsible for ensuring tenants are trading in accordance with their leases
    • Monitor the trading densities of tenants and encourage marketing initiatives or other improvements where appropriate
    • Conduct daily building inspections across all locations (refuse area, gardens, parking, entrances, cleanliness, etc.)
    • Prepare for, attend, and participate in meetings with superiors to report on various Property Management and Leasing functions
    • Attend to any administrative tasks related tenants e.g. ensure all FICA documents are timeously received and contracts are set up
    • Manage external service providers, ensuring excellent service within budget constraints
    • Responsible for credit scoring of tenants, and ensuring all relevant documentation is obtained from the MDA system, ensuring the go ahead to sign the lease agreement

Revenue Growth

    • Increase the revenue base of identified locations by managing the lease agreements in order to conclude new deals and retain existing tenants via renewals
    • Ensure maximum occupancy rate by marketing vacant space and finding suitable tenants
    • Manage and ensure that exhibition income, gift voucher sales and pop-up stores’ rental is maximised
    • Ensure budgeted renewal increase targets are achieved
    • Ensure that renewals are negotiated and finalised 6 months before expiry date
    • Ensure accuracy of documentation when reviewing leases and all documentation is aligned with FICA and compliance requirements
    • Ensure that vacating tenants are vacated timeously both physically and on MDA, and ensure all checklist forms are completed and signed off
    • Responsible for ensuring that vacate inspections and any reinstatements are finalised in set time frames
    • Ensure that vacant units are in lettable condition, as soon as a tenant has exited

Financial Management

    • Complete and submit monthly reports which include but not limited to - occupancy, leasing expiry, tenant schedules, arear accounts, etc.
    • Responsible for monitoring and managing the overall finances for the centre
    • Prepare the annual budget for approval and monitor on an ongoing basis, and ensure monthly tracking of the annual budget
    • Ensure all administrative documents have been sent to the finance department on time to activate any new tenants in line with lease agreement information
    • Conduct pre-billing audits on the utility payments to ensure payments received align with invoices
    • Compile a monthly financial report ensuring all relevant data included for Head Office as specified and changed
    • Assist Credit Controller/s in managing arrears

Staff Management

    • Effectively manage the on-site maintenance team to ensure costs are in line with approved budget
    • Monitor and manage the onsite services team
    • Manage expenses and achieve budgeted Net Property Income targets

Compliance

    • Ensure that all Health and Safety is in line with compliance requirements
    • Maintain accurate records with regards to annual inspection of equipment and general preventative maintenance
    • Establish and maintain a safe, clean, attractive and effective environment for all tenants

Ad hoc

    • Any other tasks necessary for the conduct of the employer’s business, as the employer may, from time to time, direct
