We require a suitably qualified Secretary that has gained working experience within the Medical Aid Administration Industry or similar to assist the Fund Management department and the Executive Team with day-to-day administrative tasks to ensure business operations are running efficiently. Key Performance Areas: Manage all aspects of board and committee meetings, including preparation of agendas, meeting packs, minutes and resolutions. Act as the primary point of contact between the board of trustees, Board committees, EXCO, and external stakeholders. Ensure that all minutes are accurately captured and timeously finalised in line with service levels and management requirements. Responsible for duties that include but not be limited to coordinating board/committee meeting schedules, venues and the maintenance of scheme meeting records. Follow-up on tasks and deliverables from meetings with both internal and external stakeholders and the execution of these tasks post/prior to meetings. Assist Fund Manager or Scheme Manager in the preparation, review, and submission of Scheme Rules to the Council for Medical Schemes. Ensure scheme related changes g. (Rules, trustees, policies, contracts, etc.) are appropriately documented, version controlled, and stored centrally. Maintain accurate Board and Committee member lists. Maintain register of interests and conflicts policy for EXCO, Board and Committees. Document and review standard operating procedures. Manage the Scheme's contract register and ensure all contracts are stored in a central location. Perform any other ad hoc tasks that may be required by management. Competency Requirements: Knowledge Good knowledge of the Medical Schemes Industry will be advanteagous. Knowledge and application of processes and procedures Skill Advanced MS Office skills (mandatory requirement) Exceptional business writing skills Excellent analytical and problem-solving abilities Exceptional communication and interpersonal skills Good organisational and administrative skills Ability to meet tight deadlines. Experience: Minimum of 3-5 years' solid working experience Relevant experience as a secretary or similar role, with strong minute taking and administrative focus.
