Our client specialist in the Property Development Industry is urgently looking for a Care Taker for one of their Developments in Rietvleirand. Candidate must be willing to reside on the property. Point of contact: Company representative and first point of contact for tenants. All tenant complaints, issues, queries, remarks are communicated to the caretaker. The caretaker has a copy of the complex rules. All queries, issues etc received from tenant to be communicated to everyone, but the caretaker will take responsibility in sorting it out, following the proper procedures. At the discretion of the caretaker or tenant the issue can be escalated to Head Office, who will respond accordingly. General Maintenance: Document, monitor and manage all progress of maintenance issues for the tenants and the complex. (Red Rabbit ticketing system to be used) If the caretaker and staff can do maintenance themselves, do it immediately. Job card signed off by tenant for their account or companies. More technical maintenance to be discussed with maintenance manager for either inhouse staff or get quotes from subcontractor. Caretaker to obtain quotes from suppliers and sub-contractors – send to finance manager for approval and purchase order number. Any purchases made must have a purchase order number and within budget approved by finance manager Caretaker informs and arranges with all relevant maintenance staff of access times to tenant units. Communicate follow up if necessary. Photos of all before and after maintenance to be taken as evidence for billing purposes and other. Complex walk throughs – Morning and afternoon Supervise gardeners and cleaners Morning briefing of duties for each staff member for the day. Afternoon follow ups of work completed. Ensure staff have required equipment, tools, cleaning and garden supplies and fuel for equipment, toilet paper. (Monthly shopping lists to be provided to the office) Monitor sick leave and annual leave – Documents sent to HR manager for approval. Hand out payslips sent by HR Manager Staff register to be provided to HT manager for payroll purposes. Supervise the external security at the complex. CCTV is running. Perform perimeter checks, electric fence is working, there are no breaks in the fence, there are no trees or other debris hindering the fence. Refuse: Inspect refuse areas are kept clean and the bins are cleaned after the refuse has been collected by council. Utility readings: Last day of every month (if it falls on the weekend, then the Friday before) photos of all meters needs to be sent to the office. I.e. Bulk gas meters, bulk water meters, electricity meters - Monitor the prepaid electricity and water for each complex guardhouse. If the utilities need to be purchased to let the office know so it can be purchased. Administration: Office supplies monthly shopping list to be sent to the office Stock takes to be completed weekly Weekly reports to be sent to compiled and sent to Head office. Weekly meetings to held at Head office in JHB for all issues, catch up, improvements, queries, etc. Responsible for moving stock items to various complexes for staff to perform their duties (where applicable) In and Out going inspections: Photograph and document all inspections performed. Ensure all inspections are signed and dated by all tenants and caretaker. List and upload onto ticketing system all maintenance that must be attended to relating to inspections. All inspections are to be sent to the office. All ingoing and outgoing inspections are performed by caretaker. Pre ingoing inspections to be performed by caretaker 48 hours before new tenant moves in (if possible). Caretaker to ensure time is arranged. Post outgoing inspections to be completed by caretaker and all maintenance to be completed. Caretaker to monitor and arrange accordingly. If a tenant is moving out and new tenant is moving in within 24-hour period, please ensure a plan is in place to get unit ready in time. Leasing: Communicating with external agents in order to list vacant properties. Ensure Lease Agreements are completed before sent to Headoffice. Responsible for checking external agents' rental applications, as well as acquiring approval. Liaise and follow up with our company approved external real estate agents concerning vacant units. Validate our residential leases, complex rules, process are streamed lined and correct and in line with all relevant laws (Rental law, CPA POPI, etc) Responsible for tenant renewals, as well of continuance of renewal schedule and signing of all relevant documents. Lease renewals: Last Thursday of every month after rental catch up meeting discuss tenant's leases which are going to expire in the next 40 days. Descent tenant Any issues arising during their occupancy Good or bad rental payments Increase in rent Other points etc On the 1 st of the month and email is sent out with the template created for leases that are going to expire. Tenant has three options; move out, renew for 12 month or addendum of month to month. Give tenant 20 days to respond In 20 days', time follow up if tenant hasn't responded to email. Call the tenant and follow up After the phone the call e-mail the tenant, based on our telephonic conversation, you have decided the following, please see documentation to be signed by not later than DATE Send the documents that have requested. If within 10 days the tenant still has not made a decision then call the tenant as documents need to be sent out and signed off. E-mail the tenant the documents. Before the lease expires documents must be signed off and then director can sign them. Send the tenant copies for their records On the 19 th inform Finance manager if the tenant is renewing, month to month or vacating. (Documents should be available as within the 10 days deadline). Provide details for increases. Provide the signed documents to the office to add to MDA, TPN and Sage. File in the tenant's file Previous experience within the Property Industry Retired and willing to give full time attention to Units on Property Own reliable transport Apply Now
