Position Objectives Daily management of the Credit Facilitation team. Manage debtor's days, Bad debt provision and ensure adherence to credit rules by the team and the Sales Force. Monitor and balance the debtors accounts monthly and manage risks Specific Accountabilities Manage the Credit Facilitation team to deliver on the following: Debtor's book: Ensure that the Company Credit Policies are applied and adhered to by the team and sales force To monitor the debtors weekly to ensure that the outstanding amounts and the aging thereof is under control and properly managed Ensure Credit Facilitators make the relevant phone calls needed in line with their regions aging and debt. Monitor and release the number of SMS's sent to the field Check if accounts over 45 days are blacklisted and final notices have been sent Ensure that blacklisted accounts are loaded onto Swordfish Queries to be resolved within 24 hours Risky accounts to be placed on hold and AD to be informed accordingly Critical area list to be prepared every month after volume discount to highlight risks for the Company. Inform the Sales and Finance team. Managing Out of Country accounts before orders are released and follow up on weekly payments. Credit limits: Requests by ADs for changes in credit limits to be discussed and agreed with the Credit Manager and captured by the Supervisor on the Customer Master Releasing of orders: Ensure that the releasing process runs smoothly every day, and that all orders as per the releasing schedule are released and finalised as per the deadlines Ensure accounts are released and a stand in is allocated in the absence of a Credit Facilitator ADs are to be notified if accounts are to remain on hold Order entry to be notified when daily releasing is done Ensure that the teams work according to the month end and public holiday releasing schedules Out of Country Orders to be released urgently when orders are captured, and relevant parties informed Company Policies must be adhered to when releasing orders. Banks Ensure all banks including Pay At and Post Office are uploaded every day of the week. Bank files must always be up to date (procedures, passwords, clear notes on how to download all the different banks) Take ownership and liaise directly with the Banks, Pay At immediately if there are any queries with the uploads of the banks, messages, deposits not reflecting or any queries whatsoever Ensure that the error reports are cleared, and un-identified payments queried with the banks Unidentified payments to be communicated with the Sales Force Unidentified payments to be moved to a holding account after a 3-month period. Only Supervisor to move payments out from holding account when proof provided by Credit Facilitator Month end Reconciliations Reconciliations (Pay At and Post Office) must be prepared, finalised and handed to Finance on the first working day of the new month. Journals Ensure GL 14050 balances at month end and resolve errors with Credit Facilitator to prevent reoccurrence. Acknowledgement of Debt Assistance with journals, opening of accounts and follow ups needed after Credit Manager has sent proposal Service Fee deductions Ensure correct percentages deducted according to Credit Rules for all distributors Ensure all AOD's are updated and followed up accordingly Correction of Invoices in Closed Period The paperwork must be filed per Credit Facilitator and checked monthly Check all adjustments are authorised and filed R33000
