Job Summary:

Our client, a leading provider of telephone conferencing, video conferencing, web streaming, announcement, investor relations services, and data sharing solutions, is seeking a Conference Specialist/Operator for its regional office located in Sandton, Johannesburg. The successful candidate will be instrumental in ensuring flawless execution of client bookings and events. This role demands professionalism, exceptional telephone etiquette, and a keen attention to detail, as the operations department serves as the "face" of the company. This is a full-time, in-office position, and comprehensive training will be provided.

Key Responsibilities:

  1. Client Interaction:

- Promptly respond to email and telephone inquiries related to conference bookings.

- Efficiently manage booking requests received through a shared email inbox, ensuring clarity and precision in all communications.

  1. Booking Management:

- Oversee the entire booking process from inception to completion, assuming full responsibility for each event.

- Enter all pertinent information into the booking system with meticulous attention to detail.

  1. Operational Duties:

- Conduct assigned dial-outs and monitor conference calls to ensure an outstanding experience for all participants.

- Perform quality checks on active conferences to identify and resolve any potential issues promptly.

  1. Event Coordination:

- Accurately record and manage event details within the company’s systems.

- Arrange and conduct test calls with clients prior to their events to guarantee technical readiness.

  1. Lead Operator Responsibilities (Master of Ceremonies - MC):

- Act as the lead operator for Investor Relations calls, overseeing the management of the event, including:

- Setting up the call and welcoming main speakers.

- Delivering a comprehensive introduction and facilitating smooth transitions between speakers.

- Moderating the Question and Answer segment of the event.

- Transitioning back to speakers for closing remarks.

- Compiling and reviewing the participant list for client feedback.

- Editing and finalizing recordings for client distribution.

- Uploading recordings for playback and providing transcripts where applicable.

Requirements:

- Resident of the Johannesburg area.

- Strong communication skills combined with a professional demeanour.

- A matric certificate or equivalent qualification.

- Proven ability to manage multiple tasks efficiently and effectively.

- Proficiency in conferencing technology and booking systems.

- General computer knowledge.

- Experience with Microsoft Office applications.

Additional:

Work hours will be 08H00 to 17H00 as standard for 3 weeks and then every 4th week 09H00 to 18H00. If the candidate is willing to be on full time from 09H00 till 18H00 that would also be acceptable.

Renumeration is based on Cost to Company and is market related for this position.
