Rental Queries: Oversee all rental queries via email and WhatsApp.
Arrears Letters: Ensure arrears letters are sent to tenants owing rent.
TPN & SMS Propsys/MDA: Ensure TPN and SMS Propsys/MDA processes are completed.
Query Resolution: Assist in resolving tenant and owner queries.
Email Response: Respond to all email queries.
Deposit Refunds: Attend to tenant queries regarding deposit refunds.
Account Adjustments: Capture manual future charges and adjustments to accounts.
General Correspondence: Handle complaints, notifications, warnings, increases, etc.
Tenant Meetings: Attend tenant meetings.
Insurance Claims: Facilitate insurance claims.
Reporting: Compile reports and reconciliations upon request.
Maintenance Issues: Follow up and ensure all maintenance issues are resolved.
WiFi Management: Block and reactivate WiFi and ensure tenants are billed accordingly.
Credit Control: Manage prepaid credit control for Metermate and Power Measurements.
Rental Increases: Compile and update annual rental increases.
Utility Review: Review electricity and water usage to ensure no losses are incurred.
Metermate Reports: Review Metermate reports monthly to identify any issues requiring further investigation.
Vacancy Management: Check and ensure the accuracy of the vacancies listed.
Unit Readiness: Ensure units are ready for occupation and liaise with letting and support staff.
Letting Coordination: Work with the letting department to ensure vacant flats are rented at competitive prices and specials are placed on high/long vacancy buildings.
Advertising: Actively involved with letting and ensuring the accuracy of adverts and letting lists.
Social Media Marketing: Advertise vacant units on Facebook Marketplace for the letting clerk.
Qualifications:
A minimum of 3-5 years of experience in residential property management.
Sound knowledge of MDA / MRI
Strong knowledge of property management principles, practices, and standards.
Excellent organizational and time-management skills.
Outstanding communication and interpersonal abilities.
Proficiency in property management software and Microsoft Office Suite.
Strong financial acumen with the ability to manage budgets and financial reports.
Ability to work independently and as part of a team.
A valid drivers license and reliable transportation.
