We are looking for an energetic individual, with a passion for property management, to manage a portfolio of diverse community schemes. Meetings Attend Trustee/Director meetings Chair and/or take minutes of Trustee/ Director meetings. Act upon items resulting from Trustee/ Directors meeting. Determine date, time, and venue for AGM/ SGM according to legislation and trustee/director availability. Oversee the scheduling of AGM/ SGM for community schemes within legislative framework. Prepare for AGM/ SGM: budget, special project quotes, quorum info, insurance schedule etc. Attend meetings for all community schemes under the assigned portfolio. Chair and/ or taking minutes of such meetings as appropriate, and in accordance with the relevant legislation. Complete post - AGM/ SGM checklist. Update changes to information resulting from AGM/ SGM E.g. levy increase, special levy, owners information etc. Monthly Reporting Provide all required information to the financial department for monthly financial reports. Oversee and execute monthly reporting processes. Approve monthly reports before sending to trustees/ directors. Ensure monthly reports are generated for each building in the portfolio. Reports to be checked and distributed by priority list. Liaison Build and maintain relationships with trustees/ directors. Build and maintain contractor relationships. Build and maintain relationships with relevant councils and utility management companies. Communicate with owners and resolving matters is of utmost importance. Community Schemes Approve remuneration list prior to pay run. Oversee distribution of manual pay slips monthly. Assist the financial department in obtaining statutory information for bc/ hoa from trustees/ directors. Utilities Liaise with council on billing statements, queries, payments etc. Report/log calls for various matters. Follow up with council pertaining any/all outstanding matters. Provide trustees/directors with feedback pertaining to all municipal/council queries. Building Contractor and Maintenance Take instructions from trustees/directors and responding with the appropriate action. Escalate individual owner issues to trustees/directors in an appropriate and timeous manner. Follow up on outstanding maintenance matters. Payment of creditors within given parameters. Load new creditors on the system. Clearance Figures Confirm levy information for clearance figures. Liaise with the transferring attorneys and/or trustees/ directors. Issue clearance certificates on request. Insurance Update insurance schedules for buildings in a portfolio. Update and renew insurance policies for buildings in the portfolio. Facilitate insurance claims where applicable. Annual Financial Audits Complete annual audits in cooperation with tax and audit specialists for all buildings in a portfolio. Finalise the audited financials and distribute to owners once approved. Building Take-on and Handover New building take-on confirmation and discussion with company directors for approval. Provide the relevant parties with information pertaining to the new building take-on. Assist trustees/directors with the hand over process. Liaise with the relevant firm to obtain all documentation and arrange for collection. General Duties Resolve queries received. Take the appropriate action to resolve/assist clients with their queries. Maintain open channels of communication on the floor. Grade 12 Paddocks / Relevant tertiary qualification will be advantageous. Minimum 3 – 5 years' experience in Property Portfolio Management Apply Now
