Role overview:
We are looking for a highly organized and detail-oriented IT Project Administrator to join our client. The ideal candidate will support and coordinate IT projects, ensuring timely and within-scope delivery. The IT Project Administrator will collaborate closely with project managers, technical teams, and stakeholders to ensure seamless project execution.
Responsibilities:
- Project Coordination: Assist project managers in planning, executing, and closing IT projects. Coordinate tasks, resources, and timelines to ensure project milestones are met.
- Documentation Management: Maintain accurate project documentation, including project plans, schedules, meeting minutes, and reports. Ensure documentation is up-to-date and accessible to relevant stakeholders.
- Communication: Facilitate effective communication among project teams, stakeholders, and management. Keep all parties informed about project status, issues, and changes.
- Resource Allocation: Monitor resource availability and allocation to ensure efficient project execution. Collaborate with department leads to assign tasks appropriately.
- Risk Management: Identify potential project risks and assist in developing mitigation strategies. Track and manage risks throughout the project lifecycle.
- Quality Assurance: Ensure projects adhere to company standards and best practices. Perform quality checks on deliverables to maintain high-quality project outputs.
- Vendor Coordination: Coordinate with external vendors and contractors involved in projects. Ensure they meet project requirements and deadlines.
- Meeting Facilitation: Schedule and organize project meetings, workshops, and presentations. Prepare meeting agendas, document discussions, and distribute minutes.
- Continuous Improvement: Contribute to process improvement initiatives within the IT project management function. Identify areas for efficiency and effectiveness enhancement.
Qualifications and Experience:
- Project Management Certification – Advantageous
- 2 years + of proven Project Administration experience assisting with multidisciplinary projects within the Information Technology space
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Good communication, collaboration, and team orientation
- Strong written and oral communication skills, excellent interpersonal skills
- Attention to detail and commitment to delivering high-quality work.
