Project Administrator - Johannesburg

Role overview:

We are looking for a highly organized and detail-oriented IT Project Administrator to join our client. The ideal candidate will support and coordinate IT projects, ensuring timely and within-scope delivery. The IT Project Administrator will collaborate closely with project managers, technical teams, and stakeholders to ensure seamless project execution.

Responsibilities:

  • Project Coordination: Assist project managers in planning, executing, and closing IT projects. Coordinate tasks, resources, and timelines to ensure project milestones are met.
  • Documentation Management: Maintain accurate project documentation, including project plans, schedules, meeting minutes, and reports. Ensure documentation is up-to-date and accessible to relevant stakeholders.
  • Communication: Facilitate effective communication among project teams, stakeholders, and management. Keep all parties informed about project status, issues, and changes.
  • Resource Allocation: Monitor resource availability and allocation to ensure efficient project execution. Collaborate with department leads to assign tasks appropriately.
  • Risk Management: Identify potential project risks and assist in developing mitigation strategies. Track and manage risks throughout the project lifecycle.
  • Quality Assurance: Ensure projects adhere to company standards and best practices. Perform quality checks on deliverables to maintain high-quality project outputs.
  • Vendor Coordination: Coordinate with external vendors and contractors involved in projects. Ensure they meet project requirements and deadlines.
  • Meeting Facilitation: Schedule and organize project meetings, workshops, and presentations. Prepare meeting agendas, document discussions, and distribute minutes.
  • Continuous Improvement: Contribute to process improvement initiatives within the IT project management function. Identify areas for efficiency and effectiveness enhancement.

Qualifications and Experience:

  • Project Management Certification – Advantageous
  • 2 years + of proven Project Administration experience assisting with multidisciplinary projects within the Information Technology space
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Good communication, collaboration, and team orientation
  • Strong written and oral communication skills, excellent interpersonal skills
  • Attention to detail and commitment to delivering high-quality work.
  • Problem-solving and critical-thinking abilities.
  • Knowledge of IT project lifecycle and methodologies.
