Our Sales Team offers a full range of real estate services. We specialize in high quality Sectional and Full Title properties, as well as affordable, traditional and retirement village housing. Administrative Meet and greet visitors, assist them and attend to their requests and queries in a professional, polite and helpful manner. Answer telephone calls and respond to callers in a polite and helpful manner. Assist with administrative procedures relating to new owners and/or tenants, update all personal information records and assist in giving all necessary information. Ensure that complaints are documented, addressed, investigated, and resolved speedily and effectively. Complaints should be reported to the General Manager. Liaise with maintenance contractors and follow-up on maintenance required. Follow POPIA protocols and manage original documentation. Ensure all the Estate administration procedures are followed correctly and conducted effectively. Filing. Reconcile parking rental and telephone accounts on a monthly basis. Put forward suggestions for the development of more efficient and responsive systems. Liaise with Head Office where necessary. Bookings and transport/travel arrangements for residents on outing days. Attend management and staff meetings, take minutes and distribute accordingly. Sort and deliver post. Attend to applications for installations and/or adjustments needed at the units. Inform the General Manager of all events/incidents taking place. Order stationery and maintain a stationery stock list. Ensure that all office equipment is in good working order. Cost effective ordering and purchasing of goods and services on the instruction of the General Manager. Maintain and keep up-to-date filing and other administrative systems including fingerprint criminal checks, statements and financial particulars of residents and employees. 2. Finances Assist owners with levy statement queries. Attend to applications for installations and/or adjustments needed at the units. Assist residents with electricity, postage stamps and meal sales, as well as with photocopy charges, Estate bus fees, access tag costs and levy payments. Complete transactions in accordance with company procedures. Handle daily cash deposits to include daily balancing and all banking transactions. Adhere to systems for efficient and accurate monitoring and safekeeping of expenses and income. Accurately maintain records of monies received according to company policies and procedures. Maintain and produce accurate records as delegated by the General Manager or Head Office. Preparation of invoices for payment to be signed off by the General Manager. Complete daily/weekly/monthly financial returns as delegated by General Manager. 3. Relationships Form and maintain open and constructive relationships with all who have an interest or statutory duty towards the Estate, including owners, tenants, contractors, Managing Agent and Estate staff. Act as link between the residents/owners and General Manager and ensure effective communication channels between these parties are established and maintained. Promote the Estate to a high standard and develop good relationships with outside agencies. Maximize every opportunity to develop new contacts and potential service developments within the local community. Promote good communication in the Estate amongst owners, staff, tenants and visitors. Address any concerns, issues or grumbles and refer to the Estate/General Manager where necessary. 4. General In conjunction with the General Manager, check and process time and attendance registers for staff and calculate payroll hours where applicable. Participate in the planning process for the Estate, identifying areas of service to improve. Attend and participate in regular formal supervision and appraisal meetings. Ensure that stipulated duties and responsibilities, any relevant legislation, organizational procedures and codes of practice are adhered to. Promote a positive image of the Estate and deal with issues and customers professionally and with a positive attitude. Grade 12 5 plus years' experience in a similar, customer service or secretarial role Debtors / creditors experience Computer skills: Microsoft Office experience – thorough Word and Excel experience Experience in dealing with customer complaints and queries Other requirements: Above average verbal and written skills in both English and Afrikaans Excellent general communication skills Excellent planning and organisational skills Excellent time management skills Very good detail orientation Very good problem solving skills Ability to work under pressure Good conflict and stress management abilities Willing to learn, patient, friendly and efficient Market Related Apply Now
