Administrator (Social Media and PA to MD) - Cape Town City Centre


Key Responsibilities:

Sales Support:
  • Support Research team in conducting internet market research and identifying potential clients.
  • Collate and maintain client information in the CRM database (Vincere).
  • Manage multiple projects and meet deadlines.
  • Source data and conduct research.
  • Engage effectively with various levels of management, staff, and clients.
  • Perform Boolean and X-Ray internet searches.
  • Support sales team with ad responses as needed.
  • Set up interviews for candidates.
  • Manage team diaries.
  • Type CVs.
Marketing:
  • Manage and design marketing material for special projects and events.
  • Prepare adverts for candidates or positions to be marketed via social media.
  • Understand SEO and digital marketing on social media (or show an interest in learning).
  • Adept with social media platforms such as LinkedIn, Instagram, and Twitter.
Personal Support to MD:
  • Screen telephone calls, enquiries, and requests, and handle them appropriately.
  • Systemize and maintain accurate filing.
  • Capture and distribute reports and company correspondence.
  • Arrange travel and accommodation (local and international).
  • Schedule client and candidate meetings and interviews.
  • Manage office stationery and consumables orders.
Required Skills and Qualifications:
  • Proven track record of meeting deadlines consistently.
  • Strong communication skills with a professional business language.
  • Own transport.
  • Degree in business management, marketing, digital marketing, or related field.
  • High energy and a can-do attitude.
  • Advanced business and creative writing skills (background in journalism or marketing and sales is a plus).
  • Minimum of 7 years of experience in a similar role.
  • Background in sales administration and operations.
  • Proficient in MS Office and Google apps.
  • Experience with any CRM system.
  • Advanced Excel skills (pivot tables and macros).
  • Experience with Microsoft TEAMS.
  • Ability to adapt to new tools and software.
  • Detail-oriented, resourceful, and flexible.
  • Strong organizational skills.
  • Excellent verbal and written communication skills.
  • Must possess an executive speech pattern with business language proficiency.
  • Flawless spelling and grammar.
  • Professionally groomed (similar to the dress code in the series "Suits").
  • Experience working in a small company, preferably a recruitment agency, with an "all hands on deck" culture.
Additional Requirements:
  • Ability to work after hours occasionally.
  • Strong home support structure to accommodate these situations.
